FenceRep is a quoting and contract app for fence companies, run by DCA LLC ("FenceRep", "we", "us"). This policy explains what information we handle, why, and the choices you have. It covers fencerep.com and the FenceRep app.
Who this covers
Fence companies that sign up for FenceRep (owners and their reps), and homeowners and other people whose information a fence company enters into FenceRep, such as customers, leads, crew members and suppliers. For homeowners, the fence company decides what to collect and how to use it; we handle that information on the company's behalf.
What we collect
- Account information: names, email addresses and passwords (stored encrypted) for owners and reps.
- Company information: company name, logo, phone, address, license details, prices, material costs, contract terms and settings.
- Job information the company enters: homeowner names, phone numbers, email and street addresses, yard drawings, notes, quotes, signatures and the time they were signed.
- Leads sent to the company from its website form or services such as Zapier.
- Payments: FenceRep subscriptions and homeowner deposits are processed by Stripe. We receive whether a payment succeeded and the amount; we never see or store full card numbers.
- Phone alerts: if a rep turns on alerts, the address their phone's notification service gives us.
- Basic technical information such as the browser and device used, and logs that help us fix problems.
How we use it
- To run FenceRep: create quotes and contracts, send signing links, email documents to the people the company chooses, route leads and send reminders.
- To bill for subscriptions and to let companies collect deposits.
- To keep the service secure, prevent abuse and fix problems.
- To tell account owners about their account, such as trial and billing reminders and important changes.
We do not sell personal information, and we do not use homeowners' information to market to them.
Who can see a company's information
A company's quotes, customers and leads are visible to that company's own logins. Reps see their own quotes and the leads assigned to them; costs, labor rates and the email list are visible to the owner only. FenceRep staff do not look at a company's customers, quotes or leads, except when the company asks us to help with a problem, or when needed to keep the service secure or comply with the law.
Service providers we use
We use trusted providers to run FenceRep, and they handle data only to provide their service to us: Supabase (database and logins), Netlify (website hosting), Resend (sending email), Stripe (payments) and the push services built into phones and browsers (Apple, Google, Mozilla, Microsoft) for alerts. Data is stored in the United States.
How long we keep it
We keep a company's information while its account is open. When a company asks us to close its account, we delete its information within 30 days, except records we must keep for tax, legal or payment reasons.
Your choices
- Fence companies can view and change their information in the app, and can ask us to export or delete their account by emailing hello@fencerep.com.
- Homeowners who want to see, correct or delete their information should contact the fence company that quoted them. If you can't reach them, email us and we'll help.
- You can turn phone alerts off at any time in the app or in your phone's settings.
Security
Information is sent over encrypted connections, each company's data is separated by database rules, and access to our systems is limited. No system is perfectly secure; if we learn of a breach that affects you, we will tell you as the law requires.
Children
FenceRep is for businesses and is not meant for anyone under 18.
Changes
If we change this policy in a way that matters, we'll email account owners and update the date above.
